Currently certain features and field can be available/unavailable based on security roles.
While processing documents it is necessary though to limit users ability to create/change records based on the workflow step.
For example:
1. We allow our subcontractors and vendors to create and submit RFIs. For this purpose they have full rights to the RFI record.
The issue is that in this scenario even if we, the GC, submit the RFI to the architect the submitter can still change the RFI after it was submitted.
2. We allow our subcontractors and vendors to upload and edit submittals. They don't have access to the workflow status as we don't want any submittals to move up the the architects review without us vetting the submittal. This impedes the subcontractors ability to assign a workflow status that would indicate that they submitted a new record.
With workflow based security we could:
1. Make RFI information view only once the document is submitted to the architect via the workflow status
2. Allow the subcontractor to change a workflow status to 'Submitted' and then make the workflow fiels view only.
We would like to be able to allow our sub-contractors to use the workflow statues to indicate when they have submitted a submittal for the GC to review or when they have completed a punch list. Currently, the workflow statuses are set up as an all or nothing option, we would like the ability to allow sub-contractors, architects, and owners to view and make changes to certain statuses but restrict them to view and/or change others.
It looks like this could be changed in the security roles section of the Portfolio settings but you can not expand the statues section in the fields tab to choose certain statuses for each security role. Could this be added?
I see this is planned but the date is back in September of 2020, is there any update?
