The project manager should be able to assign an RFI or submittal to the architect and then set it so that there is an automated workflow process that sends each person assigned an assignment message when it's their turn to complete something.
For example, the project manager should be able to assign an RFI / submittal to the architect and the structural engineer. Both of them should receive an assignment notice, but only the architect will be able to work on this. The architect will see the RFI and then check off on it, and then the engineer will get the assignment. When the engineer checks off on it, the RFI or submittal will then be sent back to the architect who is given another assignment to check off on it. After the architect has checked off on everything, then the project manager will get the completely answered RFI or submittal back. This process does not have to necessarily work out as I described, but there should be some way for the project manager to make assignments that can be completed by different entities at different times. The project manager needs to have the ability to assign an automated workflow process of approvals by different people. The project manager should be able to go into an RFI / submittal and program it so that the architect needs to see it and check off on it, then the engineer needs to see it an check off on it, and then the architect needs to see it and check off on it, and then the project manager gets it back completely addressed and with all parties understanding what has changed. The project manager should be able to assign any number of people / steps for this process.
Right now, the project manager just assigns the architect and engineer to the assignment, and the engineer could check off on his assignment while the architect has yet to even see it. We want to ensure the architect sees the original RFI / submittal and approves of the RFI / submittal response after the engineer has worked on it.
Also to note: When assigning a task such as an RFI or a submittal to a person, not just any person should be able to check off that person's name. It should be an assignment that only the assigner or the assignee can check off. There should be a date and time associated with when the task was checked off as completed.
