Need Option to Hide All Records Unless Participating In It

Currently our users create all records but not all users in our company (i.e. the company assigned to the project) should see all records. The Sharing Option works for external users well so if it's set to "Share with Companies Participating in the Record" anyone assigned to or CC'd can see those records, including their colleagues from the same company.

  1. What if we don't want all users from a company to see all records and just 1 or 2 from that company?

  2. What if we want to create records and not have all users from the project's primary company to see all records? There is a checkbox to enforce that all users from the project's primary company can see all records, but it doesn't work for revoking access.

We need the option to:

  • Share with everyone

  • Share with companies participating

  • Share with users participating - this setting should specifically exclude ANY user not participating i.e. only the Author, Assigned/Attendee (for Meetings) or CC can see the record. No users from any company, including the primary project company, can see the record unless that user is directly participating.

Our business case use for this is when using ProjectSight for company meetings. Since our users are already users of ProjectSight, they are already assigned to our company and that cannot be changed. We have Leadership meetings where we discuss sensitive details that we do not want everyone to be able to see. We would have other meetings that are company-wide that all users would need to see.

For Project Meetings, there may be meetings between Owners and Managers that may have discussions that not all Employees of ours should see. By not having internal permissions on records, some things we can't enter in ProjectSight.

What is we're sending a Subcontract to a specific Trade and/or Owner but don't want all the users from the client or Trade (including their assistants or lower level users) to be able to view the record as it will have all the legal signed pages? For this example, our PM would create the record, assign to Owner and Trade, and CC the Project Executive, Sr PM so they can see it. Our security roles would prevent our users from not viewing but the external security roles allow those records, but not every record they are assigned to.
